OEM customization has become the core way for European and American hunting brands to create differentiated exclusive products. Many brand owners and designers do not understand the complete OEM production process of hunting gear, resulting in delayed cycles, design deviations and communication barriers. Based on 15 years of OEM service experience since its establishment in Guangzhou in 2011, GAF Outdoor fully sorts out the whole process of OEM customized hunting gear from initial design communication to final overseas delivery, dividing it into 7 core stages, detailing the work content, time cycle, key inspection points and matters needing attention of each link, and attaching real cases and time node data, which helps B2B brand buyers and designers standardize the cooperation process and avoid cooperation risks.
Stage 1: Demand Communication & NDA Signing (1–3 working days). The whole OEM process starts with in-depth demand docking. The brand side needs to provide complete design drawings, tech packs, target market positioning, material requirements, functional configurations, camouflage patterns and logo specifications. Our professional R&D and sales team will sort out the demand list, evaluate production feasibility, material matching and quotation. For all customized projects involving exclusive designs, we will sign a strict non-disclosure agreement (NDA) with the client to ensure that the brand’s design solutions, patterns and technical parameters will not be leaked to third parties. This is the primary guarantee for the brand’s exclusive competitiveness.
Stage 2: Tech Pack Optimization & Material Confirmation (3–4 working days). After receiving the client’s original tech pack, our technical team will combine the characteristics of hunting gear and the import standards of Europe and the US to optimize the design details: adjust the fabric collocation according to the hunting terrain, optimize the pocket layout according to the usage habits of local hunters, and verify whether the materials meet REACH and CPSIA compliance standards. Then we send the material samples, color cards and camouflage pattern samples to the client for confirmation. Only after all materials and details are signed and confirmed can we enter the sample production link.
Stage 3: Prototype Sampling & Revision (7–10 working days for the first sample). According to the confirmed tech pack and materials, the production workshop makes the first hand-made prototype. After the prototype is completed, our QC team conducts a full inspection of size, function, fabric and hardware, and then sends it to the client for trial and feedback. According to the client’s revision opinions, we modify the details. The conventional project undergoes 1–2 rounds of revisions, and each revision takes 3–5 working days. We will not start mass production until the final sample is fully confirmed by the client.
Stage 4: Pre-Production Preparation (4–6 working days). After the sample is finalized, we start pre-production work: purchase bulk raw materials according to the order quantity, make cutting molds and production tooling, and arrange the production line. All incoming fabrics, zippers and accessories will be sampled and tested again to ensure that the batch materials are consistent with the sample standards. At the same time, the production department formulates detailed production processes and quality inspection standards for the customized products.
Stage 5: Mass Production & In-Line Inspection (30–45 working days). This is the longest core link of the OEM process. According to the order quantity, the standardized production line completes cutting, sewing, hardware installation, lamination and camouflage printing. During the mass production process, we set 12 in-line inspection nodes: from incoming material inspection, semi-finished product inspection to finished product inspection, each link is supervised by special QC personnel to control the defective rate below 0.8. For large orders over 500 units, we will send production progress photos and videos to the client regularly.
Stage 6: Final Inspection & Packaging (3–5 working days). After the finished products are off the line, conduct a full final inspection: overall size, functional test, waterproof test, stitching inspection and appearance inspection. Unqualified products are picked out and reworked. After passing the inspection, carry out customized packaging according to the client’s requirements, including brand outer boxes, inner labels and product manuals. We support neutral packaging and exclusive brand packaging.
Stage 7: Logistics & Overseas Delivery (7–14 working days by sea, 3–5 working days by air). After packaging is completed, connect with international logistics partners to arrange shipment. We provide full set of customs declaration documents, compliance certificates and waybill information to ensure smooth customs clearance in Europe and the US. After the goods are shipped, track the logistics information in real time and feed back to the client until the goods are signed for.
The total cycle of the whole OEM process is about 60–75 working days for conventional customized projects. As a professional OEM/ODM manufacturer, GAF Outdoor provides one-stop full-process services.
