Complete OEM Process for Hunting Gear: Design, Sampling and Shipment Details

For European and American hunting brands that want to launch exclusive customized products, mastering every detail of the OEM process is the key to ensuring smooth cooperation, on-time delivery and qualified product quality. Many brand owners and designers have misunderstandings about the division of work, time nodes and inspection standards in each link of OEM production, which easily leads to communication deviations and delayed projects. As a professional hunting gear OEM/ODM manufacturer founded in Guangzhou in 2011, GAF Outdoor has served more than 300 global brands in 15 years. This article fully disassembles the complete OEM process of hunting gear from design docking, sample production, mass production to final shipment, sorts out the key details, time cycles, inspection standards and cooperation precautions of each link, and attaches real project cases, which is a practical guide for B2B customers to carry out OEM customized cooperation.

The first stage is Demand Docking & NDA Signing (1-3 working days), the starting point of all OEM projects. The brand side needs to provide complete design sketches, technical packs (tech packs), detailed dimensions, fabric requirements, hardware specifications, camo patterns and logo files. Our professional R&D and sales team will conduct a comprehensive feasibility review: evaluate whether the design is suitable for mass production, whether the selected materials meet European REACH and US CPSIA standards, and sort out a detailed quotation and time schedule. For all projects involving exclusive designs and proprietary patterns, we will sign a formal Non-Disclosure Agreement (NDA) with the client to ensure that all design information will not be leaked to third parties, which is the basic guarantee for the brand’s core competitiveness.

The second stage is Tech Pack Optimization & Material Confirmation (3-4 working days). After receiving the client’s original technical documents, our technical team will optimize the details combined with hunting application scenarios and production technology. For example, we will add bar-tack reinforcement to stress points, adjust the pocket layout according to local hunters’ habits, and replace unqualified materials that do not meet export standards. Then we will send physical material samples, color cards and camo pattern samples to the client for signature confirmation. We will not enter the sampling link until all materials and process details are fully recognized.

The third stage is Prototype Production & Revision (7-10 working days for the first sample). According to the confirmed technical standards, the production workshop makes hand-made prototypes. After the prototype is completed, our QC team will conduct a full inspection of size, tear strength, waterproof performance and noise level. Then we send the samples to the client for field test and feedback. Conventional OEM projects will go through 1 to 2 rounds of revisions, with 3 to 5 working days for each revision. We will freeze the final sample only after the client confirms that all functions and appearances meet the requirements.

The fourth stage is Pre-production Preparation (4-6 working days). We purchase bulk raw materials, cut fabrics and make production molds according to the final sample standards. All incoming fabrics, zippers and webbing will be sampled and tested again to ensure that the batch materials are consistent with the samples. The production department will formulate unified operation standards and quality inspection points for all employees to avoid differences in manual production.

The fifth stage is Mass Production & In-line QC (30-45 working days), the longest core link of the OEM process. Our production line sets 12 continuous inspection nodes from semi-finished products to finished products. Inspectors check stitching, hardware installation and waterproof performance one by one. The overall defective rate of mass production is strictly controlled below 0.8%. For large orders, we regularly send production photos and videos to clients to track progress in real time.

The sixth stage is Final Inspection & Custom Packaging (3-5 working days). All finished products will undergo 100% manual inspection before leaving the factory. After passing the inspection, we carry out customized packaging according to the client’s requirements, including brand cartons, inner labels and product manuals. Neutral packaging is also supported for distributors.

The seventh stage is Logistics & Shipment (7-14 days by sea, 3-5 days by air). We cooperate with top international logistics providers and provide a full set of customs declaration and compliance documents to ensure smooth customs clearance in Europe and the US. After shipment, we provide real-time tracking information until the goods are signed for.

The total cycle of a complete OEM project is about 60 to 75 working days. Combined with our cooperation cases with European forest hunting brands and American big game brands, this process can effectively avoid most cooperation risks. GAF Outdoor supports OEM orders with an MOQ of 200 units for full customization and 100 units for light customization.
